Set validation requirements for property activation by agency and designate the approvers. When an agent from the agency under supervision requests validation, approvers receive notification and email, allowing them to either approve, making the property active, or reject, keeping its current status.

In this article, you will learn:

How to configure it

Configuration is done at the agency level

If you have more than one agency, you should define by agency, inside each agency’s detail page, the following:

  • If that agency will require supervision;

  • Who will be validating the property activation requests for that agency.

If you don’t have multiple agencies, you just need to select who will be validating all property activation requests. This is done inside the Configuration / General Data menu, in the tab “Others”.

How to request validation

If you are an agent associated with an agency under supervision and you do not have permission to activate properties, you will need to request validation from a supervisor.

⚠ Please be aware that even if you have permission to activate properties, if your agency is under supervision you will still need validation to do it. ⚠

To request a validation, start by opening the property detail. Make sure you fill in all the mandatory fields.

After you are done, and if the property is either Inactive or Pending, right below the property status there should be an “Activation request” button:

When you click it, the system will show the activation request pop-up, where you can also add some observations to the validator.

After you are done, click “Send Request” to request validation:

The property will maintain the previous status and you will be able to see that there is an activation request pending:

How to validate a request

At this moment, the validators selected for the user’s agency will receive an email and a CRM notification of the request.

After clicking the notification, the validator will go to the “Pending requests” page. This page shows a list of all the requests made that are pending on the validator:

The information of the request is the following:

  • Request date - date and time of the request

  • Type of request -  type of the request (currently there is only one: Property activation request)

  • Requested property - reference of the property. It is a link to open the property and shows the property’s status

  • Requester - The user who requested validation

  • Respondent - The user who validated the request

  • Observation request - The observation entered by the user who requested validation. Click to open a pop-up

Response observation - The observation entered by the user who validated the request. Click to open a pop-up.

Actions - action button “Review” to validate the property.

After reading the observations of the request, the validator opens the property to review it before making a decision.

Rejecting a request

If by any reason the validator considers that the property is not ready to activate, they must enter an observation and reject the review:

By doing it, the requester will receive an email and a CRM notification informing them that the request has been rejected. They can also check the motive observation:

The requester should make the changes suggested by the validator and send a new validation request.

Approving a request

If the validator considers that the property is ready to activate, then all they have to do is click “Approve” after opening the review pop-up:

The property will be activated and the requester will receive an email and CRM notification with that information.
